Overview

After confirming your details, you'll need to upload documents required by your state's DMV. Requirements vary based on your state and your specific situation. Ekho guides you through exactly what's needed and provides tools to upload documents securely.

How It Works

Ekho shows you a complete list of documents you'll need before you begin. Then you'll work through dedicated upload pages for each document type — like proof of residence, business documentation, or military orders. After uploading, the Ekho team reviews your documents to ensure they meet state requirements. Once approved, you can proceed to sign your registration forms.

On the Paperwork kickoff page, you'll find a "Documents You'll Be Asked For" section listing every document type required for your specific situation. This list is generated based on your state and any special circumstances like military status or out-of-state licenses. This gives you advance notice to prepare documents ahead of time.

Note: The vehicle buyer must be the person who signs and uploads documents in this section.

Understanding Upload Pages

Each required document gets its own upload page with: a clear title and description of acceptable document types, specific requirements like date limits or content needs, links to state resources when applicable, example images showing properly completed documents, and a drag-and-drop or click-to-upload interface. Accepted formats: PDF, JPG, and PNG files (max 25MB each).

  1. Read Requirements Carefully
    Review the document description to understand which document types are acceptable, date requirements (e.g., "within 60 days"), what information must be visible, and any state-specific formats.

  2. Prepare Your Document
    Scan or photograph the required document. Use a scanner for best quality (300 DPI or higher). If using a camera, ensure good lighting, capture the entire document with no cropped edges, and make sure all text is clearly readable. Save as PDF (preferred), JPG, or PNG.

  3. Upload Your File
    Click "Choose File" or drag the file to the upload area, wait for the upload to complete, and verify the correct file name appears.

  4. Save and Continue
    Click "Save and continue" to advance to the next document. Files are uploaded to secure cloud storage.

Common Document Types

Proof of Residence (2 documents in many states): utility bills (gas, electric, water, sewer, landline phone), bank or credit union statements, paycheck stubs, rental agreement or mortgage documents, or property tax statements. Must show your name and registration address and be dated within the required timeframe (typically 30-90 days).

Military Documents: Current military orders showing station assignment or Leave and Earnings Statement (LES). Required for military exemptions or out-of-state registration.

Out-of-State License Documentation: Required if registering with a license from a different state. Varies significantly by state.

Social Security Documentation: Some states require a copy of Social Security card or W-2. Must be clear and legible.

Vehicle Tax Certificates: Required in certain states where the buyer pays taxes directly to the state.

Quality Requirements

All text must be legible, the complete document must be visible (no cropped edges), no shadows obscuring text or signatures, proper orientation, no blurry areas. File must be PDF, JPG, or PNG, maximum 25MB per file.

Common Rejection Reasons: verifier signature not visible, stamp or seal missing or illegible, form incomplete or missing required fields, wrong vehicle VIN, date outside acceptable range, or poor image quality.

Track Your Progress

Document Status Indicators:

  • Incomplete: Not yet uploaded, action required

  • Uploaded: File received, awaiting review

  • Under Review: Ekho team is reviewing (typically 1-3 business days)

  • Approved: Document accepted, no further action needed

  • Needs Correction: Issue found, must re-upload corrected version

Troubleshooting & FAQ

What if I don't have a utility bill in my name?

Use alternative documents like bank statements, paycheck stubs, lease agreements, or insurance bills. Check the complete list of acceptable documents for your state. If still unable to provide required documents, contact Ekho support for guidance on alternatives.

Can I upload documents from my phone?

Yes! The Buyer Portal works on mobile devices. You can take photos directly with your phone's camera or upload existing files.

Why was my document rejected?

Common reasons include: text too blurry to read, document incomplete or missing required fields (full legal name and address matching registration address are often missing), wrong document type, document dated outside acceptable timeframe (e.g., older than 60 days), or only partial document captured. Read the rejection reason carefully, correct the issue, and re-upload.

How long does document review take?

Typically 1-3 business days. During peak times it may take up to 5 business days. You'll receive an email notification when review is complete.

Can I replace a document after uploading?

Yes, before approval you can replace documents as many times as needed by clicking "Replace File." After approval, contact support if changes are needed.

What if my upload keeps failing?

Common causes: file too large (compress or reduce scan resolution, 25MB max), wrong file type (convert to PDF, JPG, or PNG), internet connection issues (check stability), or browser issue (try a different browser or clear cache). If problems persist, contact support.

Can I proceed to signing before all documents are approved?

In some cases yes — if documents are uploaded and under review, you may be able to continue. However, all documents must be fully approved before your vehicle can be fulfilled.
